Rick called meeting to order at 1:55

January board meeting minutes were approved by voice vote.

Financial report – Rick presented for Doug – Club has $117,538 in main account with $100,000 in CD’s after an additional $25,000 was added to CD’s in February. There is also $37,383 in tournament account. Bob moved, Stan seconded and report was accepted by voice vote.

Membership report – Brian presented that club currently has 1,620 members and324 past members will be purged from membership this month. Kathi moved and Sandy seconded and membership report was accepted on voice vote.

Survey results for court allocations. . .

Hi Members,

Attached is the result of the questions asked. The actual number of voters is 943. The weighted is how many votes a category received after adding the split votes to equal whole votes. The board will now use these results to allocate courts for the upcoming lottery April 2nd. The court allocation will be used from May 6th through August 31st. During that time we will look to see how well the allocation is working and how we should proceed for the following lottery.

Court closure during snowy weather. . .

ISSUED FEBRUARY 10, 2025 

It has come to our attention that we have had some bad behavior on the Association's pickleball courts. Immediately after the ice and snow storm while the courts were closed by the Association we had some people go to the courts with shovels to try to clear them for playing. The courts sustained some minor damage in the way of cracks from pointed shovels. This was done while the courts were closed by the Association. Had the people who caused the damage been seen by Secuitas there would have been fines at a minimum. The cost to repair the courts would have been substantial. 

Secondly, while a group is on the court that they have booked it is not permissible for someone else to enter that court. Wait until their time is up or ask permission to cross through their court. You are there for exercise not for confrontation. It seems as though some of the Tuesday 2:00 o'clock players have forgotten their manners. Let's be respectful of others.

Important Information on the 2025 Low Country Pickleball Classic for Sun City Pickleball Club Members:
 
As a member of the Sun City Pickleball Club, you will have the opportunity to enter the tournament one day before the pickleball public.  As you know, in the past, the tournament has sold out very quickly so if you are interested in playing, please take advantage of this opportunity.  Beginning at 8am on Monday January 13, Sun City Pickleball Club members can use a special access code to register.  This access code can be found in the club email that you received on January 6th.

In celebration of the 10th Anniversary of the Low Country Pickleball Classic, we will be hosting a Low Country Boil starting at 6pm on Thursday April 3 at the Sun City Pavilion.  The catered dinner from Toomer’s Bluffton Oyster Co. and cash bar (beer & wine) is a ticketed event for players, Sun City Pickleball Club members and guests with a cost of $25 per ticket which includes lots of shrimp, sausage, potatoes, corn on the cob, cornbread and soft drinks.  If you are entering the tournament, you will purchase your tickets when you register.  After tournament registration is complete, we will offer any available space to the members of the Sun City Pickleball Club.   At that time an email will be sent to club members for them to purchase tickets for the Low Country Boil.

Pickleball Lottery 2nd Semester 2024

TUESDAY, SEPTEMBER 17th
1:00PM TO 2:30PM AT PINCKNEY HALL DANCE FLOOR
Lottery court times run from October 28 – May 4, 2025

Registration due by Tuesday September 7, 2024 at 4pm

The next lottery drawing for permanent court reservations will be held on Tuesday Sept 17, 2024   from 1:00pm to 2:30pm at Pinckney Hall Dance Floor. If you would like to have a chance at regularly scheduled court time for a group of players, you must submit a Pickleball electronic registration form by September 7, 2024 at 4pm with a roster of players for your group.   
  • All group participants must be current Pickleball Club members and also must be registered with the Chelsea System.
    • Membership can be checked via the club membership roster   CLICK HERE to access the roster (stored on the Sun City Residents website under the Pickleball Club page.
    • Chelsea can be checked via the buddy list feature with-in Chelsea
      • Open Chelsea, select either request or booking and use the search feature (magnifying glass) next to the member number.    
  • If you would like to form a group, you will need a minimum of 4 players and list yourself as the group leader (See rules attachment).
  • Maximum Group requests are 3 days/wk for  2 courts/day for 2 hrs/court
Lottery numbers will be pre-assigned and recorded for each registration by the lottery committee. You will be notified of your numbers prior to the lottery, which you should bring with you. 

Tuesday Sept 17, 2024  the draw sequence will be determined and the results will be published to all Group Leaders.

On the day of the lottery drawing, the group leader or his/her representative must be present to select the days and times of play. Only one registration is required no matter how many days/week the group plays. If your group plays 1 day/wk, you will be assigned 1 number; if you request 2 days/ wk you will receive a 2nd number, 3 days/wk you will receive a 3rd number. This will all be for Draw A or B (whichever you selected on the form).

Low Country Pickleball Classic is coming up!

WHEN: April 5th through April 7th, 2024
WHERE: SCHH North side courts daily, South side courts on Saturday

This year's Low Country Pickleball Classic is packed with competitors –– currently 422 players will be participating over the three day event, representing 22 states!  There will be plenty of great pickleball to watch, AND a variety of other happenings that you won't want to miss.

PRACTICE COURTS –– Thursday 1pm til 10pm on the north side!
Open play for residents and tournament players from 1:00 to 10:00 PM on Thursday.  And the North Courts will be available for open play for residents and tournament players after completion of tournament play on Friday, April 5 and Saturday, April 6.  During this open play time, if others are waiting to play, please play only one game to 11 and then let others have the court.  

SATURDAY APRIL 5TH –– Special activities include. . .

Wheelchair Pickleball Demonstration

Military Adaptive Court Sports will be conducting a Pickleball Demonstration on Court 10 at 11:45 on Saturday.   Gabe George, the Pickleball Director of Military Adaptive Court Sports, and an Invictus Games competitor, will be at our tournament.

Jasper Animal Rescue Mission
JARM will be at the tournament on Saturday conducting an Adoption and Donation Fair from 10:30 to 1:00.  Dogs will be available for adoption, and you will be able to submit an application.

To raise funds for local charities, we will be having a Silent Auction for five paddles and other gear provided by Selkirk, Head, and Engage.  Bids will be taken at the Registration Tent.

Lottery Roster Clarifications

I know everyone that wants to participate in the upcoming Summer semester of Lottery is anxious to get started and submit their registration forms.  With the recent changes to our Lottery rules group leaders have raised issues with the rostering process.  Specifically as it relates to CAM numbers, and what is permitted by the Community Association.  The Board has worked directly with Lifestyles management to ensure that the process we are using meets the guidelines of the community rules.  
Lifestyles encourages the club to work toward implementing a system where the players on reservation match with the players on the court.  With that caveat:

LOTTERY ROSTERS
  • ​YES, you are allowed to use your spouse or significant other's number to fill out your group roster if absolutely needed, even if they are not playing in your group,  provided they are a club member.
  • It is intended that the CAM numbers used in assembling your group rosters are actual players, and club members. 
  • Lifestyles would prefer that our booking times in the Chelsea system align more closely with our playing times –– 1hr or 2hr time slots. This change would eliminate the need for (8)names when assembling a group roster for 1 court for two hours. 

As a first step, for this Summer Semester of Lottery, we are reducing the number of names needed as shown below:
  • 1 court for 1 hour will require 4 names
  • 2 courts for 1 hour will require 8 names
  • 1 court for 2 hours will require 6 names (rather than 8)
  • 2 courts for 2 hours will require 12 names (rather than 16)

Our intent is to eliminate the need for “borrowed names” to make quota. Any group that plays for 2 hours should have subs lined up that they would normally ask to play as needed.

MANUAL CHELSEA RESERVATIONS
  • YES, you are allowed to use your spouse or significant others (members of the same household) CAM number to book a second court or hour.
  • YES, you are allowed to book manual court reservations in Chelsea with a friend or friends to obtain the second court or second hour. It is reasonable to have another player fill in if needed.

NOTE: Chelsea reservations are non club sponsored play and the club is not responsible for  monitoring these reservations.

SPECIFIC VIOLATIONS PER COMMUNITY RULES
  • Using someone else’s CAM# to book a reservation without their permission is clearly a violation of the community rules.  Should the person whose CAM number is being used fraudulently file a complaint with Lifestyles, the offender CAN be identified and consequences could ensue for the offender.

  • We were reminded that attempting to purchase a club membership for a neighbor (other SCHH resident) in order to utilize their CAM# for club sponsored court reservations is strictly prohibited.

Dink and Drink Club Event 2024 Results

The anti-rain dances worked, and we were blessed with a gorgeous day and spectacular dinking! Over 100 people participated in the challenge and I met some new players at our latest tournament, cannot wish for better than that!

Thank you to the players that stepped-up, last minute to cover for several players that were sick. Also, MANY thanks to Sherry Halphen and Ken Schneiderman who jumped in during the middle of the tournament to keep us going. Love the team work!

Of course, none of these tournaments would be such a great success without the volunteers that help. I could NOT do this without you! The wonderful court monitors and runners …. Gina Resch, Becky Nesta, Matt Halphen, Mary Lou Terlesky, Sally Grasso, Debbie Rezzolla, Kevin and Jannetje McManus, Rod and Sherry Baldwin, Tom Losk and anyone else I missed, several people jumped into help! Rod Baldwin and Bob Grueser for taping the kitchen lines.

Stan Burzacki, our maintenance man extraordinaire and tournament go to guy. He lugs ALL the stuff there and BACK to the shed on the south side. Stuck it out with me all day, that’s a task in itself!

And, my data girls, who talked me off the ledge several times during the day - Jenn Timpe and Colleen Rozeman, Ladies – you were awesome! Big thank you to Lisa Robinson for the embroidered towels she did for our silver medalists!

Now to what you all want to know, the winners of our Dink Challenge, some of the results were sooo close, and a point or two made the difference. Incredible competition amongst our players.

Lottery changes update

There are two separate topics I want to update you on:

  • Upcoming Lottery — Procedures and Rules
  • Sub-committee to address Court Utilization and Balance for our growing and diverse pickleball membership

Upcoming Lottery Procedures and Rules
The recent change to the lottery rules by and large was accepted and understood by those participating — 75% of the players were not affected by this change. However after careful consideration the Board agreed to modify it’s rule change to the following:

Players may play in up to three different groups twice a week.
With this slight change, 90% of the players are not affected by the rule.

Updates to the procedures and rules are done to improve the management of the process, and to insure it continues to be fair to all those participating. The current changes were not the first, and likely will not be the last. 

The club was recently informed by the Community Association of an existing rule that may affect the way you build your lottery group rosters: providing use of one’s Activity Card to another person (resident or guest) to allow access to a Sun City amenity is a $375 fine per the Community Association Rules.  

In other words — “borrowed” CAM cards are strictly prohibited by the community and the pickleball club has been reminded of this.

Sub-committee for Court Utilization and Balance
I requested in our January Board meeting that a Sub-committee be formed to develop a proposal that provides a more balanced use of our courts that accommodates our club members and their various play structures — Lottery (permanent court reservations) Chelsea (manual court reservations) and Open Play.

The Sub-committee is made up of two board members and five club members representing a cross section of players representative of our structures of play.

What has come from their initial evaluation is a clear need for Club Rated Play, mixed, and gender specific as well as the need for more options of play in the evenings. Serious consideration is being given to 90 minute time slots during the primetime hours and 2 hour time slots during the afternoons. This change alone would streamline the rostering issues for lottery groups, and put everyone in compliance with the CAM card restrictions.  

The sub-committee has been tasked with presenting their proposal for Board review at the February Board meeting.

Happy New Year - from our club President

Happy New Year, I wanted to let you know what's happening with the Pickleball Club as we go into 2024 and remind everyone of some of the Sun City rules that we need to abide with.

Club Financials
I've attached our club register so you can see the club's financial position.  As described throughout last year, if we would like improvements to our courts we as a club are being asked to fund these changes.   This has been requested of all clubs/groups in order to keep SCHH overall CAM fees at a minimum.  
You'll see we have 99,244.13 in our main account with 65,000 being held in CD's for their favorable interest.  We also have $8977.32 in the tournament account.   We're expecting to spend $40,000 to replace the lights on courts 7-14 in the first quarter. 

Membership
We currently have 1437 members with approximately 300 who have not renewed.  An email will be sent directly to those 300 this week as we will be purging them from the roster and the listserv next week. If you do NOT receive a direct email from Cheryl Crouse, our membership director, your renewal is in place.

Website communication
We actively update our club website with relevant information like the following.

The club has a ball machine (and balls) that are available for individual use.

Lottery rule change
Individual players will be limited to 2 lottery GROUPS.   Groups are able to play 3 times per week.  (please note: this has since changed per newer update news 1/28/24)

Based on past lotteries this accommodates the vast majority of players and addresses the #1 concern expressed during the survey last year
Lottery play is limited to club members. The lottery is considered a club event and as such should abide by the Sun City Clubs and Groups bylaws.

Guests are able to attend club events up to 3 times before being required to join the club.  Non residents are not able to join the club.
Court utilization balance

As we move into 2024 we are looking to ensure we have a balance of play between permanent reservations, open play, and open reservations. Our goal is to ensure all club members are accommodated while adhering to the Sun City CA policies. We're also planning for the eventual arrival of the East Argent amenities.   As of today there is no official answer as to what that will entail.

Training Policy
Sun City is a not for profit community organization.  As such we must abide by specific tax regulations.  Two specific rules are called out in the Community Schedule of fees. "Members are prohibited from profiting financially or by any other means using their Community Association membership for use of the Association facilities."  and  "Pickleball instruction on all Association property shall be taught by Sun City Hilton Head Community Association staff and/or community approved contractors only."  

In order to be in compliance with these rules, we have created a club policy for those who would like to volunteer their time to provide training on the association facilities. The club will assign time to the trainer based on the policy which is available on the club website.  Ultimately, any coaching that involves payment has to be approved by the CA or the Club.

Other items of interest...
  • There have been several calls to me and to the Logo building regarding people using someone else's CAM# to reserve courts.  Please ENSURE you have permission to use someone's number before making a reservation.
  • Pets should NOT be on the courts,  there are multiple dog parks around Sun City for off leash play.
  • Bicycles are NOT to be ridden on the sidewalks at the facilities, and should be stored in the bike rack.   We're working to get another bike rack by court 14.
  • The CA has a no solicitation policy.  We're not allowed to use our listserver to solicit for non club activities.
  • There will be a t-shirt sale prior to the upcoming LCPC.   Watch for an email (and it will be on the website).
  • We attempt to keep one roller and 1 broom for every court.  If you use a roller / broom from another court, please return it to it's original court.   That helps us keep track of damaged / missing equipment.
  • If you see a net / windscreen issue  send an email to [email protected].   That creates a work order for the CA to repair the screen's and nets.

Low Country Pickleball Classic 2024

This is a reminder that the Sun City Hilton Head Pickleball Club will be holding our 9th Annual Low Country Pickleball Classic Tournament on Friday April 5 through Sunday April 7, 2024

Friday, April 5   –  Women's Doubles  3.0 to 4.5+
Saturday, April 6  –  Mixed Doubles  3.0 to 4.5+
Sunday, April 7   –  Men's Doubles  3.0 to 4.5+

Registration opens on January 20 at 8:00 AM and will close on March 1 or when capacity is reached.  Obtain a partner and register early to guarantee a spot.  The entry fee is $60 for one event or $70 for two events.  Payment is via PayPal which accepts credit cards.

Sun City Hilton Head Pickleball Club members as of January 20, 2024 will receive a $15 discount on the entry fee if you use Discount Code SCHHPBCLUB2024 when registering.   Enter the code on the screen that has the total amount of the tournament and has the green "Go To Checkout" button.  (Please do not give this code to non-members to use because they risk being dropped from the tournament without a refund if they use the code without being a member.) 

The tournament is open to all Sun City Hilton Head residents, regardless of age, and all non-residents 35 and older.

Wheelchair Pickleball coming to Sun City

Military Adaptive Court Sports (MACS) is a veteran based non-profit organization founded in 2009 to help rehabilitate armed service members and veterans suffering from physical and mental injuries due to the negative effects of combat.

Funded by the VA, MACS originated in the sport of racquetball and shifted its primary focus during the pandemic to pickleball, including para-pickleball, leading clinics at VA centers across the country.  MACS Pickleball Director is Gabe George, a Navy veteran and amputee who is featured in the Netflix documentary series “Heart of Invictus” leading the United States team in the Invictus Games competing in Archery and Swimming.  

George is constantly on the road leading pickleball clinics for MACS and will be attending the Low Country Pickleball Classic at Sun City in April. Joining George will be MACS Executive Director Steven Harper, also a Navy veteran and a leading instructor in para-pickleball and other sports for MACS.  George and Harper will host a MACS clinic and exhibition with veterans on Saturday during during the LowCountry Pickleball Classic.

Results of Pickleball Club Vote to authorize correction of lights on courts 7-14

​Thank you to those who took the time to vote for the authorization to correct the lights.   The vote was limited to club members only.   However, the email sent to the registered listserv members was also posted to the SCHHPickleball Facebook page which is not limited to only club members resulting in 3 non members casting a vote. 
 
Those three as well as the following erroronous votes were rejected. 
 
  • 6 people voted twice 
  • 5 votes cast that were purely invalid.
    No name, no CAM# or purely random characters entered

After removing the 14 rejected votes, the vote was still overwhelmingly in favor (90%) of spending the funds to correct the lights.  Of the 509 total votes, 456 who voted in favor and 53 people who voted no.   

Thanks for your support on this vote.   I will send another update on the timing and impact as we get closer to the installation.

Upcoming Court Lottery Dates

Lottery is held twice a year. Essentially we offer a Spring/Summer Lottery which will run April 29th through October 27th, 2024 and a Fall/Winter Lottery that will begin October 28th, 2024 and run into early 2025.  Important dates to remember are outlined below!

Spring / Summer 2024 Lottery
  • February 7th, 2024 - Email to form groups 
  • March 6th - End of group entry
  • March 13th - Lottery Draw

LowCountry Pickleball Leagues

The Low Country Pickleball Leagues run several disciplines each year.  Teams from Sun City compete against teams from various  regional communities. Following are the disciplines and start dates:
  1. Fall, Women's Doubles, start the first Tuesday (or week) after Labor Day
  2. Winter, Mixed Doubles, start the second Tuesday (or week) of January
  3. Spring, Men's Doubles, start the first Tuesday (or week) of April
  4. Summer, LCPB ML, the month of June, 4 weeks.

Volunteer captains form teams at the 2.5, 3.0 and 3.5 skill levels starting a few weeks before play begins.   No partner is needed to join.  An email will go out at that time to club members so they may express interest in joining a league         team.  Captain's will review those wishing to play and reach out according to the available spots.
  • Each team will have a roster of from 12 to 15 players.
  • 3 courts (6 players) play per week per team for a total season of 8 weeks.
  • Format is best 3 out of 5 games to 11 win by 2 except if there is a 5th game it is win by 1.
  • Team fees are split amongst the players.
  • Cost per team is $200 league fee plus balls and snacks. If someone drops out, the remaining players make up the deficit.

Courts booked -- NO SHOWS!

As our community grows, the demand for court time also grows. 

Often times, the Pickleball Club Board is notified by members that courts showing booked on our reservation system, are not actually being used. In 2023, rules will be put in place to help nudge club members to cancel booked courts when they are not planning to actually used them.

More information will be published regarding this ongoing problem and how it will be handled. For those members not familiar with how to cancel a booked/reserved court, choose the "Court Reservation System" link under Resources.
